With the exception of the Cary City Meet, the coaching staff will assume all swimmers will participate every swim meet unless the parent explicitly withdraws their swimmer(s). Withdrawing from a meet is commonly referred to as a ‘scratch’.
It is very important to let the team know as soon as possible when your swimmers are going to miss a meet. You do not need to wait until the week of the meet to scratch from it, you may scratch from any future meet at anytime prior to 6:00 PM on the Sunday prior to the swim meet.
There are several ways to scratch from a meet (ordered by preference and reliability):
- Via the MacDolphins web site.
- Vie e-mail – send e-mail to scratch@macdolphins.org.
- By signing up on the scratch sheet on the bulletin board. The scratch list on the bulletin board has been eliminated. All scratches must be done electronically.
The preferred mechanism to scratch is via the MacDolphins web site as the information can easily be migrated to the swimmer database. The ability to scratch via the web site is new for the 2009 season.
To scratch from a swim meet, please do the following:
- Login to the MacDolphins web site.
- From the Dashboard (the page you land on after logging in), click on the Swim Team menu on the lower left side.
- From the Swim Team page, select the Swim Meets tab.
- Select the swim meet you wish to scratch from by clicking the small circle next to the desired meet and click the Scratch button. You will be presented with a form which looks like this:

- Choose your swimmers that you wish to scratch. By default, all events (even though we don’t swim IM) are selected which indicates a full meet scratch. If your swimmer will miss part of the meet, simply the indicate which events he or she will miss by unchecking the ones they will be present for.
- Save the form and your scratches will be recorded.
If you need to make a change, simply run the process again. Prior scratch information is discarded when you save it again. If you want to participate in a meet you had previously scratched from, simply click in the Register button instead of the Scratch button in step 4 above and the scratch information will be purged.
