Overview

The MacGregor Downs swim team, the MacDolphins, has its own web site:  www.macdolphins.org.  The web site is the primary source for all swim team information.  News, schedules, results, history, etc. will be available at www.macdolphins.org so please add it to the list of web sites you visit regularly.  The site is evolving; some of the web site features are under construction and will be completed over the course of the season, possibly even by the first meet.

The MacDolphins swim team utilizes an electronic registration process.  The online registration enhances the team’s ability to keep records, manage swim meets, and exchange meet entry information with other swim clubs.

The online registration can be found on the team web site:  http://www.macdolphins.org.

Privacy Concerns

Swim team recognizes member’s privacy concerns.  The contact information collected during registration is only shared with other team members should the member choose to allow it.  No information is available to non-team members.

How to Register for Swim Team – New Families

The Registration Process for Swim Team depends on whether you are a new family or returning family and whether returning families are adding any new swimmers.  Registration for new families is outlined below, registration for existing swim team families appears in the next section.

New family registration for Swim Team is a two step process:

  1. Registration of parent(s) with the MacDolphins’ web site.
  2. Addition of swimmer(s) to the database and registration for the current season.

For additional swimmers and subsequent seasons (e.g. next year), registration is based on the information already stored in the database and is outlined in the following section.

Web Site Registration

To register with the MacDolphins web site, visit http://www.macdolphins.org.  One parent must register with the site in order to register for Swim Team as all swimmers are linked to a parent profile.  Both parents can be registered with the system but only one should add swimmers.  Once swimmers are added to the database the ability to “connect” a second parent is available and can either be done during registration or at a later date.

Step 1 – Click on the Register Link

Step 2 –Enter Username and E-mail Address and CAPTCHA code

Clicking on the “Register” link shown in the image above will lead you to the form shown below.

Select a username which you will use to access the web site and enter your e-mail address.  The system will generate a password and send it to you via e-mail.  Use this password for your initial login to the MacDolphins web site.  Once you have logged in, you can change your password.  The CAPTCA code (the scrambled text which appears below the e-mail field) is an unfortunate necessity to prevent SPAM and unauthorized registrations.

Once you receive your password via e-mail, you may proceed to the next step.

Step 3 – Login into the web site

Once logged in, you will land on the Dashboard or Swim Team overview page.  Look for your username or name along the top on the right hand side.  Click on your name or username to update your profile.

Step 4 – Update Profile

The swim team registration and management system is built on top of a web application called WordPress which means that some of the user profile information is part of the web application and some is specific to swim team.

Most of the information on this page is optional however it is the only place you can change your password.  It is important to set your password to something you will remember so you can access the site later as you will need it during the season to scratch from swim meets and access results.  Should you forget your password, the system can reset it and send you a new one.  The other information on the form is optional – if you would like to enter it feel free to do so.  You can update your profile at any time when you login to the web site.

Step 5 – Enter or update your Swim Team Family profile information

After you have updated your profile, look for the Swim Team menu on the left hand side navigation bar and click on it.  This will bring you to the Swim Team overview page.  Using the menu tabs across the top of the page, select “My Profile”.  Enter the information about you as a parent and your family.

Please complete all the fields.

  • The member number is your MDCC member number and will be used for billing.  Swim team registration is billed to your MDCC account.
  • Note that the T-Shirt field is for you the parent or guardian, not your swimmer(s), their T-Shirt size will be entered on their Swimmer Profile.
  • If you are a new family to the MacDolphins this year, please note it by selecting “Yes”.  This will help the coaches and team coordinators to identify and work with new families.

Swimmer Registration

Now that your parent/guardian (aka user) profile is complete, you can add your swimmer(s) to the system.

Step 1 – Add Swimmer(s)

Select “My Swimmers” from the Swim Team Menu.

Step 2 – Add a Swimmer

Add your first swimmer by completing the form shown below.  The secondary contact can be set at a later time if/when the swimmer’s second parent or guardian registers with the web site.  Adding a swimmer automatically registers the swimmer for the current season.

Although we don’t specifically use the information, we’d like to know how many year round students we have and how many year round swimmers we have.  The t-shirt size on this form is for the swimmer you are registering.

How to Register for Swim Team – Returning Families

If your swimmers swam for the MacDolphins in either 2008 or 2009 or if they were a MacMinnie in 2008, then your family and swimmer information is already in the database and you do not need to register again.

If you have forgotten your password and/or username, you can have the system resend your username or reset your password.  Click the Login link on the main page of the web site and then select Lost your Password from the login screen.

When you go through the password reset process, you will need to update your profile once you login to change your password to something you can remember.  Refer to Step 4 in the new family registration section for information on how to update your profile.

Once you have successfully logged in, please take a moment to update your parent/guardian profile to account for any changes to your address, phone numbers, member number or other profile information.

Adding new swimmers for returning families

After updating your profile, returning families who need to add new swimmers can begin with Step 2 in the adding new swimmers for new families section.

Registering returning swimmers

To register returning swimmers, select the My Swimmers tab.  A list of swimmers who are currently in the database will be displayed with their status against the current season.

Select a swimmer from the list using the small circular button to the left of the swimmer name and choose “Update” from the drop down list.

Update any information which has changed for your swimmer and save the form.  Upon save you will return to your list of swimmers.

Select a swimmer from the list using the small circular button to the left of the swimmer name and choose “Register (Season)” from the drop down list.

Review the Swim Team Terms of Use and Billing Policy and register the swimmer.  Repeat the process for each swimmer that will swim this season.  Verify by returning to the “My Swimmers” tab and make sure the swimmers are listed as Active under the status column.

You’re done!  Your swimmers are registered for the Summer 2010 season.
